Companies House needs to be informed whenever a company’s registered office address or directors’ address changes. It’s easy to submit a change online if you’re changing your registered address to a virtual office location.
Companies House is the government agency that maintains a publicly available register of all companies in the UK. Every limited company, limited liability partnership (LLP) and incorporated body operating in the UK must be registered with Companies House by law.
Companies House holds key information, such as each company’s name, type, and key addresses. Businesses need to submit the following addresses to Companies House:
Your business may also have a separate trading address, where you primarily work from. Find out more about the difference between a registered address vs a trading address.
Companies House must be informed whenever key details relating to your business change, such as your company name, directors’ details, or your registered address. For example, you’ll need to update Companies House in the following instances:
Businesses can use a virtual office address as both their registered address and directors’ service address with Companies House, as long as their virtual office provider offers this option. At Virtual HQ, we offer this as an add-on to our basic monthly virtual office package.
Companies often choose a virtual address to save money compared to the cost of a serviced office, to keep their personal details private, and to boost their brand’s professional image. Extra services are typically included with a virtual office too, such as mail forwarding, call handling, and access to meeting rooms or coworking spaces.
Changes to your business’ registered or trading address must be submitted within 14 days of the change taking place. To update Companies House with your new details, follow the below steps:
First, you need to secure what’s known as an ‘appropriate address’ for your business. An appropriate address is one where you can receive mail and be notified of its arrival. A PO Box can no longer be used for this purpose, but Virtual HQ locations can be, and we offer mail collection at many of our sites.
Once you’ve secured an appropriate address for your business, log in to your Companies House WebFiling account, using your unique company number and six-digit authentication code.
Locate your company’s details, and select the option to ‘change registered office address’. Every company has their own dashboard, so you’ll be able to find your details easily.
Next, select the option to file an AD01 form to update your company’s registered address. Double check the details you’re inputting before submitting to ensure everything is correct and keep your business compliant.
The final step is to submit your AD01 form and wait for email confirmation that your requested change has been accepted by Companies House. Your updated details will then be visible via the publicly available register.
Companies House takes just minutes to update in many cases, with confirmation for changes submitted online typically received within a few hours. If you’re submitting your AD01 form by paper, allow a few weeks for your requested change to be processed and formally updated with Companies House.
An AD01 form is the document that businesses need to use to submit a change of registered address to Companies House. Both digital and paper AD01 forms can be used, but paper documents will take longer to process.
If you’re updating a directors’ service address, you’ll need to use a CH01 form, while a CH03 form is required when updating a secretary’s name or address.
Yes, you do need to tell HMRC when you update any of your business’ contact details – such as your registered address – with Companies House. In some cases, your updated details will be automatically passed to HMRC for Corporation Tax purposes, but it’s recommended that you submit the change to yourself, as this isn’t always the case.
As well as updating your registered address on Companies House, you’ll need to update your details across the following:
Businesses that fail to keep their company address and other key details updated with Companies House risk financial penalties, and are likely to miss statutory notices if they cannot be contacted. This can lead to further penalties, including prosecution, and potentially being struck off the official Companies House register.
Stay compliant and keep your business’ details up to date with support from Virtual HQ. Our UK virtual addresses can be used as your registered business address with Companies House, and our team can help you to update your details if needed.
