You will be notified via email when you have any post to collect. When collecting mail for the first time, you are required to present a photo ID to the staff at your chosen location. This also applies to any other individuals who will collect mail on your behalf. If ID is not presented, mail may not be released to you.
Post will be forwarded to your chosen address confirmed in your welcome email, this is usually done the same day if not the next working day as received at the centre.
If you do need to update your mail forwarding address, please send a proof of address to firstname.lastname@example.org.
Please ensure you keep us updated with any changes to your residential and/or forwarding address to avoid any disruption to your service.

We discourage the delivery of parcels, smaller ad-hoc parcels can be accepted; these will need to be collected in person or via courier at your expense, promptly.
Accepted Post Names
We will only accept incoming post for the company name(s) specified within your welcome email. If you have additional trading names/company name variation(s) please let us know.

If you have chosen a local telephone number to be added to your account, the details of this number and its diversion destination will be emailed to you separately.
If you would like to change the destination that your telephone number diverts to please email us to request the change.

Registered & Directors Address
Please check your welcome email to ensure you have permission to use your virtual office as your registered office, please contact us if that option has not been added to your package.

The registered address add-on allows you to use your virtual office for all Directors Service Addresses also.

Companies House Updates
If you have paid for our Companies House Update service, please allow 7-21 working days for this to be reflected on Companies House.
If you’re interested in updating your Companies House information, for a small admin fee of £19.95 per form we can take the admin away and update both your Registered and Directors address on your behalf!

Our monthly billing date is the 1st of each month, your next issued invoice will have a pro-rated value to bring you in line with our monthly billing date.
If you have chosen to pay annually, your next invoice will be raised on the anniversary of your sign up.
Please note that payments must be received promptly, or the service could be affected. You’re able to change your chosen payment method at any time by contacting the support team.
For any additional services such as post forwarding or telephone answering charges, fees are processed a month in arrears.
You can give notice to cancel your subscription at any time by emailing email@example.com.
For monthly customers, cancellation terms are based upon a 30-day notice period.
For both annual and bi-annual customers, a 30-day notice must be given prior to your renewal date or your account will automatically renew for the same period.
Where applicable, an advance service invoice will be raised to cover your notice period on the day your cancellation request is processed.
Upon cancellation, please ensure that all your company details are updated. Failure to update your address in a timely manner will result in a £100 + VAT fine. In addition, an RP07 will be filed with Companies House and we will report misuse to Google. Continued ‘virtual squatting’ will be reported to trading standards for investigation. If either is applicable, this could be damaging to your business.

Annual Discount - How to Change
You can update any time by emailing firstname.lastname@example.org.
Remember, opting for an annual payment gives you a 15% discount on the cost of your virtual office!
Additional Company Names & Future Changes
If there have been any changes to your personal or company details since sign up, please let us know. Take a look here to see whether we require you to provide updated documentation.
If you have a trading name or wish to add an additional company name to your account charges do apply, but discounts are available! Just get in touch with email@example.com for more information.
